Quality Assurance has always played a critical role within the pharmaceutical industry. Today, however, the demands placed on QA professionals are evolving rapidly.

Pharmaceutical manufacturing is becoming more technologically advanced, regulatory expectations continue to develop, and Quality Systems are increasingly expected to support risk-based decision-making, digitalisation and continual improvement.

For QA professionals considering their next career move, technical knowledge remains essential, but simply having experience in a GMP environment may no longer be enough to differentiate yourself.

The strongest candidates are increasingly those who can demonstrate how they have used their quality expertise to solve problems, manage risk and improve pharmaceutical operations.

So, what can QA professionals do to stand out?

1. Show That You Understand Quality Beyond Compliance

Understanding GMP requirements is fundamental to almost every pharmaceutical QA position.

However, employers are not simply looking for people who can quote procedures or regulations. They need professionals who understand why those requirements exist and how they protect product quality and ultimately patients.

This means being able to apply GMP principles in real-world situations.

For example, rather than simply stating on your CV that you have experience with deviations, consider explaining the type of work involved:

Instead of:
“Responsible for deviation management.”

Consider:
“Managed and investigated manufacturing deviations, supporting root-cause analysis, CAPA implementation and timely closure in accordance with site quality procedures.”

The difference is significant.

One describes responsibility. The other demonstrates how your knowledge was applied.

This approach can be used across experience involving CAPAs, complaints, audits, validation, batch release, supplier quality, change controls and investigations.

2. Develop Strong Quality Risk Management Skills

Risk-based thinking has become increasingly embedded within modern pharmaceutical quality systems.

ICH Q9(R1) provides principles and tools for Quality Risk Management across pharmaceutical development, manufacturing and distribution. Importantly, the revised guideline places additional focus on areas such as managing subjectivity, understanding formality in Quality Risk Management and improving risk-based decision-making.

For QA professionals, this creates an important opportunity.

Being able to demonstrate experience using tools such as:

  • FMEA;
  • risk assessments;
  • root-cause analysis;
  • risk ranking;
  • hazard analysis; and
  • structured decision-making

can strengthen your profile considerably.

More importantly, candidates should be prepared to explain how their risk assessment influenced a quality decision.

Employers need professionals who can distinguish between what is genuinely high risk and what simply creates additional administration.

3. Understand the Increasing Importance of Digital Quality

The role of technology within pharmaceutical Quality Assurance continues to expand.

Electronic Quality Management Systems, Laboratory Information Management Systems, Manufacturing Execution Systems, automated equipment, cloud platforms and other computerised systems are now central to many pharmaceutical operations.

The regulatory environment is evolving alongside this digital transformation.

In 2025, the European Commission consulted on substantial revisions to EU GMP Annex 11 for Computerised Systems alongside a proposed new Annex 22 addressing the use of artificial intelligence within GMP environments. Work on Annex 22 has continued into 2026, including an EMA-led workshop examining expert contributions to the developing guidance.

For somebody building a long-term career in QA, digital literacy is therefore becoming increasingly valuable.

You do not necessarily need to become a software engineer. However, understanding areas such as computer system validation, data governance, electronic records, audit trails, system lifecycle management and data integrity can give candidates a broader quality skillset.

4. Never Underestimate Data Integrity

Technology may change, but the importance of trustworthy pharmaceutical data does not.

FDA guidance describes data integrity as an important component of pharmaceutical CGMP compliance, while recent FDA inspection activity continues to scrutinise areas including manufacturing operations, Quality Systems, process controls and data integrity.

QA professionals should therefore be comfortable with fundamental data-integrity principles and understand how poor documentation or weak data governance can undermine an otherwise compliant process.

When preparing for an interview, think about examples where you have:

  • reviewed GMP documentation;
  • identified documentation deficiencies;
  • investigated data discrepancies;
  • worked with electronic records;
  • reviewed audit trails;
  • improved documentation practices; or
  • trained colleagues on good documentation practices.

These examples demonstrate that you understand quality at an operational level rather than purely theoretically.

5. Keep Up With Regulatory Change

One of the easiest ways to differentiate yourself as a QA professional is also one of the most straightforward: stay informed.

The regulatory environment never stands still.

The revised EU GMP Annex 1 is now fully applicable, including its enhanced focus on Quality Risk Management and contamination control within sterile manufacturing. Meanwhile, work continues on areas such as computerised systems, AI and qualification and validation.

You do not need to know every regulatory development in detail.

You should, however, understand the developments most relevant to your specialist area.

A QA professional working in sterile manufacturing might closely follow Annex 1 and contamination control strategies. Someone working heavily with digital systems might prioritise Annex 11, data integrity and computer system validation.

This demonstrates professional curiosity and shows prospective employers that your knowledge is continuing to develop.

6. Quantify Your Impact Wherever Possible

One of the biggest missed opportunities on QA CVs is focusing exclusively on duties.

Consider these two statements:

“Managed CAPAs and deviations.”

versus:

“Supported the reduction of overdue CAPAs through improved investigation tracking, cross-functional follow-up and prioritisation of high-risk actions.”

The second tells an employer something about the value the candidate brought to the organisation.

Where possible, look for measurable examples.

Perhaps you:

  • reduced overdue deviations;
  • improved CAPA closure times;
  • supported a successful regulatory inspection;
  • reduced repeat deviations;
  • delivered GMP training;
  • improved right-first-time documentation;
  • supported a new product introduction;
  • qualified a critical supplier;
  • helped implement a new eQMS; or
  • supported remediation following an audit.

Not everything needs a percentage attached to it. The objective is to show outcomes rather than job descriptions.

7. Build Cross-Functional Experience

Modern Quality Assurance rarely operates in isolation.

QA professionals routinely interact with manufacturing, engineering, validation, regulatory affairs, supply chain, QC, laboratories, IT and senior management.

ICH Q10’s model for an effective Pharmaceutical Quality System specifically incorporates areas including knowledge management, change management and continual improvement across the product lifecycle.

This makes communication and stakeholder management highly valuable QA skills.

During interviews, employers may therefore be interested not only in what decision you made but also in how you handled disagreement.

Could you challenge a manufacturing decision professionally?

Could you explain a compliance risk to somebody without a QA background?

Could you work with engineering to resolve a technical deviation?

Could you defend a quality position while still helping the wider team find a practical solution?

Strong QA professionals are not simply the people who say no. They are the professionals who understand the risk and help the organisation determine the compliant way forward.

8. Prepare Better Examples for Your Interview

QA interviews often become significantly easier when candidates prepare real situations in advance.

Before your next interview, identify examples covering:

  • A difficult deviation – What happened, how was it investigated, and what was the outcome?
  • A CAPA – How was effectiveness determined?
  • An audit or inspection – What was your role and what did you learn?
  • A disagreement – How did you balance operational pressure with quality requirements?
  • A process improvement – What changed because of your involvement?
  • A quality risk – How did you assess and manage it?

These examples allow you to demonstrate technical competence, decision-making, communication and commercial awareness simultaneously.

9. Avoid Standing Still

Perhaps the most important characteristic in today’s QA market is adaptability.

Pharmaceutical manufacturing continues to change.

Regulators are examining emerging technologies including artificial intelligence, while regulatory initiatives continue to strengthen expectations around Quality Systems and risk-based change management. In March 2026, for example, the EMA announced a pilot examining the effectiveness of Pharmaceutical Quality Systems specifically in relation to risk-based change management.

That means the strongest QA career strategy is unlikely to be based on learning one process and repeating it indefinitely.

Keep expanding your exposure.

Learn from investigations. Get involved with audits. Volunteer for validation activities. Understand how your organisation’s systems connect. Follow regulatory developments. Learn from colleagues in engineering, manufacturing, regulatory affairs and QC.

The broader your understanding of pharmaceutical operations becomes, the more valuable your QA perspective can become.

Standing Out Means Demonstrating Value

A competitive QA job market should not simply become a competition over who has accumulated the longest list of GMP responsibilities.

The professionals who stand out are those who can demonstrate that they understand quality, risk, regulation, technology and people.

Your CV should show what you achieved.

Your interview should demonstrate how you think.

And your professional development should show that you understand where pharmaceutical Quality Assurance is heading next.

For employers, these characteristics are equally important. Finding the right QA professional is not simply about matching keywords against a job description. The right individual can strengthen Quality Systems, improve decision-making, support inspection readiness and help embed a stronger quality culture throughout an organisation.
